Two Important Messages from Finance

TO:                  All Employees

FROM:           Finance

DATE:            December 6, 2019

SUBJECT:    401k changes needed by December 16, 2019

Last pay of the year – December 20, 2019 & First pay of January – January 3, 2020

Please be aware that the last pay date of the year is December 20, 2019 when we will be on Winter Break. Payroll will begin processing this pay the week of December 16. We will also be processing the January 3 pay before the break as well.

Therefore, if you want to start contributing, or if you have any 401k changes that need to be entered before the end of the year, please do so by Monday, December 16, 2019. Any changes made through Lincoln Financial after December 16 will be completed on the January 17, 2020 pay.

If you have any questions, please feel free to contact either Jerry Moody at X2673 or Sharie Williams at X2647.

SUBJECT: Winter Break Payroll –  December 23 – January 1, 2020

Pay Dates December 20, 2019 & January 3, 2020

With the Winter Break scheduled from December 23 through January 1, we are requesting that hours be entered and approved in ADP by NOON on Monday, December 16 for the December 20 pay, as well as the January 3 pay. In ADP, while in the current pay period, timecards can be approved. By choosing the drop down arrow on the right side of the Pay Period box, the Next Pay Period option can be chosen.

Remember to enter time off in ADP separately from the time card, and Supervisors MUST approve time off in ADP IN ADDITION TO the employee’s time card in order to get paid correctly.

SUPERVISORS: Please communicate this to all your direct reports and ensure they have entered and you have approved their time into ADP by Monday at Noon, December 16. For those employees that work over the weekend and through the break, their time can be estimated and will be adjusted, if necessary, on the following pay.

EMPLOYEES: Please make sure to enter your time into ADP by Monday at Noon, December 16. Timecards not approved may result in a delay of pay.

First-time paychecks or pay cards will be available for pick up from Campus Safety on December 20 (for the December 20 checks only) or mailed to the address in ADP for anyone not receiving direct deposit.

If you have any questions, please feel free to contact either Jerry Moody at X2673 or Sharie Williams at X2647.

Holiday Helping Hand Grant

Once again, this year the LIFE community will be offering a Holiday Helping Hand grant of $500 to a member of the LIFE community for whom it would make “all the difference.” The Holiday Helping Hand grant is awarded to a member of the LIFE community for whom it would make all the difference in completely meeting a need (and perhaps even allowing the recipient to “level up.”)

All members of the LIFE community are eligible to write a one-two paragraph essay describing how $500 would meet the criteria above. Entrants may nominate themselves or another member of the LIFE community.
“CLASS CLIMATE”
This year, entry is a bit different. Details – and a unique link to the essay submission form – can be found in an email that will show up in your inbox from the sender, “Class Climate.” These emails were sent on Monday afternoon, November 18, at about 5:00 p.m. Please note that these emails cannot be forwarded to others because each link is individualized/unique to the recipient.
EMPLOYEE PARTICIPATION
Departments that wish to can contribute to the grants by paying a “bounty” in order to wear blue jeans and/or sneakers during their “Holiday Helping Hand Drive,” and their goal is to raise a minimum of $500.00 to help someone with a hand up (not to be confused with a handout). All departments are encouraged, with supervisor permission, to “pay to play casual” and make pledges to assist as well. Together, we can close the year knowing that we made a positive difference in the lives of members of the LIFE community during the holiday season or during the course of the year.
TIMELINES
Locate the email from “Class Climate” and use the link you’ll find there to provide your essay submissions before end of day on Friday, December 6, 2019.
Departments, please collect your “bounty” contributions and submit them no later than 5:00 p.m. on Monday, December 9.
Selection of recipient(s) will be completed by Noon on Monday, December 9.
Funds will be available to selected recipient(s) by Noon on Thursday, December 12.
QUESTIONS
Please send any questions to: WeServe@LIFE.edu or WDJarr@LIFE.edu.

2019 Mandatory Annual Harassment & Anti-Discrimination Training

Life University strives to provide an educational and work environment for all faculty, staff and students that is free from unlawful harassment and discrimination. It is the University’s expectation that Harassment and Anti-Discrimination training be completed annually by all full-time and part-time employees as part of our commitment to an inclusive and respectful community.

You are required to receive two sets of trainings; one from Human Resources and one from the Title IX Office. While the trainings may appear similar, they are different from one another. Each training is mandatory. Participation is tracked electronically; therefore, it is not necessary to provide printed or email confirmation.
Human Resources’ online Harassment and Anti-Discrimination courses (presented via Skillsoft) take approximately 40 minutes for non-managers and 65 minutes for managers to complete. This includes a mastery test requiring a passing score of 75% or better.
2019 New Hires should have completed this training within their first 30-days. Those that have not, or employees who took the training in 2018, must comply. For most, the Skillsoft training will not be available or accessible until the week of November 4. Therefore, we ask that you complete this online training no later than Friday, November 8, 2019.
To access the training:
  • Go to the following URL: https://is035.skillport.com/skillportfe/login.action
  • Username: Life University email address (For example: john.smith@life.edu)  *PLEASE NOTE: use full email address.
  • Temporary Password: welcome / OR your existing password if you have one.
  • Access Training: Select “View Learning Plan” and then launch each of the three courses listed above.
Remember, you are required to complete two sets of training. They are distinct and implicate different legal requirements.
Please do not hesitate to contact Monica Ward, Employee Relations Officer in the Human Resource Department, at 770.426.2943 or by email at Monica.Ward@LIFE.edu should you have any questions or difficulties logging into Skillsoft.
Thank you for your cooperation!
